The Volunteer Playbook: Roles that Keep a Fundraiser Running

A great fundraiser does not happen because one person does everything. It works best when everyone has a clear role, a simple plan, and a shared goal to rally around. Whether you are leading a school fundraiser, team fundraiser, club fundraiser, or community campaign, the right volunteer structure can make selling feel easier, more organized, and more fun.
1. The Fundraiser Captain
The Fundraiser Captain is the person who keeps the big picture in focus. This volunteer helps set the goal, shares important dates, communicates with families or group members, and makes sure everyone understands what they are working toward.
For schools, this might be a PTO leader or teacher. For teams, it could be a coach, team parent, or booster club member. Their job is not to do everything, but to make sure the fundraiser has direction. A strong captain gives sellers a clear reason to participate, whether they are raising money for new uniforms, field trips, classroom supplies, travel costs, or program upgrades.

2. Seller Support Crew
This role is especially helpful for student fundraisers because sellers often do better when they feel supported. A few friendly reminders, sample selling scripts, or quick tips can help students feel more confident when sharing their fundraiser with family, neighbors, and community members.

“Together, we can achieve more.”
3. The Product & Money Manaer
The Product & Money Manager helps keep the fundraiser organized behind the scenes. This person tracks product distribution, collects order forms or payments, monitors remaining inventory, and helps make sure everything is counted accurately at the end.

Having a dedicated volunteer in this role can reduce confusion for leaders and sellers. It also gives families a clear point of contact for questions about pickup times, payment deadlines, or extra product availability.
